A damaged chair can leave a host with photographs on a phone, a contractor invoice in email and a payment confirmation in a banking app. Once a reimbursement request is underway, those records need to answer the same questions: which item was damaged, when its condition changed, what work was needed and how the requested amount was calculated.
Keep that connection intact through submission, follow-up and payment. A claim file also needs to show what you sent and what happened afterward.
Start with one reservation and a short item list
Create a record for the reservation. Include the stay dates, checkout, discovery time and the person who observed the condition. Add the Airbnb case reference when one is assigned; keep it separate from the booking confirmation code.
Give each claimed item a short label. “Item 1 — dining chair” can follow the chair through its photographs, estimate, invoice and payment record. Consistent labels let you answer a later question without making someone reconstruct the connection between unrelated filenames.
Write the initial account while the details are available. Describe what the person found and when. Separate their observations from explanations supplied by the guest, a contractor or someone else.
Identify the deadline for each step
Airbnb’s published guidance uses several clocks:
| Step | Published timing | Starting point |
|---|---|---|
| Guest recovery efforts and notice to Airbnb under the HDP terms | Within 14 days | Guest checkout |
| Formal HDP payment request and supporting evidence under the terms | Within 30 days | Guest checkout |
| Guest response in the Help Center workflow | 24 hours | Reimbursement request |
| Support involvement and documentation under an additional Help Center instruction | Within 14 days | Damage or loss |
The HDP terms, §§3.1–3.3, and Help Center instructions describe these steps differently. Begin documenting and reporting promptly, follow the instructions displayed for the claim, and seek written clarification if they conflict. A general reference to 30 days is not a reason to postpone the earlier steps.
The Resolution Center’s general 60-day period also has a specific exception for damage requests. Record the completion of each claim step rather than treating every contact as the same submission. A later request for evidence should not be treated as a deadline extension unless Airbnb confirms one.
Record the condition before cleanup or repair
When it is safe, photograph the surrounding area and then the damaged item in detail. An overview helps locate the item; a close-up shows the condition. A short video can document a functional problem that a still photograph cannot explain.
Preserve the originals and their available dates. Note any movement, emergency work or cleaning that happened before the photographs. Address immediate hazards first and record the intervention as part of the sequence.
Compare the damage with genuine earlier observations of the same item. Those might include turnover photographs, maintenance records or a photograph taken during the stay. Label the occasion accurately. A during-stay photograph remains a during-stay photograph even when it provides useful evidence of the item’s earlier condition.
Dates and metadata can help order the records. They do not, by themselves, establish who caused the damage. Include relevant maintenance history or intervening access where it affects the account.
Airbnb requires truthful, verifiable evidence and prohibits doctored or falsified material, including through AI. Its evidence provisions also allow further verification requests. Preserve source records so a presentation copy does not become the only version available.
Match the amount to the right document
Each cost document answers a different question.
| Document | What to look for |
|---|---|
| Original purchase receipt | Item description, acquisition date and historical price |
| Repair estimate | Proposed work, scope and estimated amount |
| Contractor invoice | The item or service billed and whether the work or payment is complete |
| Payment confirmation | Recipient, amount, date and transaction status |
| Replacement record | Replacement item, price and connection to the damaged item |
Read those documents together. An invoice marked unpaid and a completed payment confirmation can be reconciled by matching the recipient, amount and service. A payment to the same contractor for unrelated work needs its own explanation and allocation.
If the original receipt is missing, record what you have: an order history, earlier photographs, an acquisition record or another document connecting you to the item. Explain the remaining gap. Do not recreate a receipt or assign an unsupported purchase date.
Airbnb’s terms address item details, supporting cost records and valuation. The price of a new replacement should remain distinct from the old item’s purchase price and condition. If a damaged component cannot be purchased separately, explain the repair or replacement choice and attach the relevant support.
Keep ordinary turnover and additional work separate
A cleaning invoice should identify the work behind the amount. Airbnb distinguishes ordinary checkout cleaning from certain unexpected additional cleaning costs.
For a hypothetical example, suppose the reservation cleaning fee is $100, ordinary turnover costs $100 and an additional documented cleaning task costs $50. The total cleaning bill is $150. Show the $100 ordinary work and $50 additional work separately, then explain the applicable cleaning-fee adjustment. The additional task still needs to meet the relevant reimbursement conditions.
Describe a separate removal service by its scope, date and charge. Keep the reason for the work connected to the photographs and service record. A label such as “extra cleaning” leaves the reviewer to guess what happened.
Build an index someone can follow
Keep the explanation beside a short evidence index. For a hypothetical $120 chair repair, it might look like this:
| Record | File | Location |
|---|---|---|
| Earlier condition | 01-chair-earlier-condition.jpg | Original photograph |
| Damage found | 02-chair-damage.jpg | Original photograph |
| Repair scope and charge | 03-chair-repair-invoice.pdf | Page 1 |
| Completed payment | 04-chair-payment.pdf | Page 1 |
Use filenames that match the item labels. Check whether the document is readable at ordinary viewing size, including dates, amounts and item descriptions. If a PDF contains several records, identify the page containing the particular proof.
An indexed PDF may help organize a presentation, but check the actual submission channel before relying on it. Airbnb’s document-link instructions for messages concern messaging; they do not establish what the HDP uploader accepts. Save the uploader’s displayed requirements and use the requested method. Keep originals available alongside any combined or redacted copies.
Save proof of the submission
Before submitting, retain the version you intend to send, its itemization and its attachment list. After submitting, save the available confirmation and compare it with what the case displays.
Record the date, time zone, booking and case references, amount and currency. Distinguish a saved draft, the request sent to the guest and a confirmed request for Airbnb involvement.
A confirmation showing a $120 request supports the amount submitted. If it does not list attachments, it leaves their receipt unconfirmed. Save any file list the portal provides and note files whose acceptance you cannot check.
When replacing a document, retain the earlier version and record why the new one was supplied. That makes it possible to identify which version supported a later response or decision.
Answer follow-up requests item by item
A request for more evidence may concern ownership, prior condition, responsibility, cost, payment or an unreadable file. Identify the question before assembling another attachment bundle.
A short response can point to the specific record:
The repair invoice is in 03-chair-repair-invoice.pdf, page 1. The completed payment is in 04-chair-payment.pdf, page 1. Please identify which fact remains unverified or which file you cannot open.
If the evidence is missing, state what is available and the gap it leaves. Record any response deadline shown in the request. After a call, retain a concise written follow-up identifying the documents requested and any next step discussed.
Keep a small follow-up log: request date, item, question, response date and files supplied. If the amount changes, preserve the earlier amount, revised amount and reason.
Reconcile the decision with the money received
Continue the record after approval. Requested, approved, processing and received amounts describe different events.
Returning to the hypothetical $120 repair, suppose the guest pays $20 and Airbnb later approves another $85:
| Entry | Amount | Record to retain |
|---|---|---|
| Original request | $120 | Submitted itemization |
| Guest payment received | $20 | Payment confirmation |
| Additional Airbnb amount approved | $85 | Written decision |
| Airbnb payment received later | $85 | Payout or transaction confirmation |
| Total received after both payments | $105 | Reconciliation |
| Original request still unreimbursed | $15 | Relevant decision and unresolved position |
The $85 approval and its later payment are the same recovery at two stages. Counting both as separate receipts would overstate reimbursement. The $15 difference records the balance against the original request; it does not establish entitlement to that amount.
Retain the final item-by-item determination, the payments actually received and any remaining open issue. That completes the connection from the condition first observed to the financial result of the request.
Host questions this article answers
Check lead time, booking pace, day type, gap shape, and revenue context before choosing the pricing move.
No. It may be early in the booking window, blocked by shape, or isolated to weak day types.
Tools can suggest numbers. The decision still needs context from the host calendar and KPI history.
